Payment/ Cancellation/ Refund Policy

Deposits

A non-refundable deposit is taken prior to any appointment being booked at The Parks Clinics. Each deposit is based on the amount of time/ treatment being done on each appointment. A minimum of 50% deposit is taken for any treatment booked, but usually payment in full is required. Any treatment that is booked without a deposit, The Parks Clinics have the right to cancel and remove from the diary before the end of that working day, and will not be rearranged until a payment is received.

Deposits are non-refundable and maybe held in full by the practice to cover losses due to a cancelled appointment(s) regardless of the notice period, including payment required by our self-employed clinicians, the cost of materials which are ordered in, in advance as well as other expenses which are covered in advance.

Cancellations

A minimum of 24 hours’ notice is required to cancel a pre-booked appointment. Should the appointment have had over 1 hour allocated, a minimum of 48 hours’ notice will be required.

Failure to comply with this will result in the following deductions, prior to rearranging another appointment:

30 minutes appointments: £50 charge

1 hour appointment: £100 charge

Appointments over 1 hour will be subject to the clinician’s fee, however it is based on £50 per half hour as a minimum fee.

Frequent offenders that short notice cancel may be removed from our patient database after 3 occurrences.

Refunds

Refunds will be considered at the discretion of the Accounts department on a case by case basis.

Please state the reason why you wish to request a refund, however please bear in mind deposits are generally non-refundable.

Refunds can take up to 15 working days and may take further time to appear in your account; depending on the card issuer.

Refunds are paid by BACS to the patient only, we do not offer cash refunds.

If a refund is granted by our Accounts department, your refund will be subject to a fee of up to 10%; this charge is a result of fees associated with our card payment provider, costs incurred to date (ie laboratory fees, materials and clinicians time) and any other reasonable costs the practice has incurred.

In certain circumstances The Parks Clinics may add an administration fee to cover time spent resolving a request.

Offer/ Promotions

On occasion we offer free consultation days to patients that wish to proceed with treatment; these are booked with a deposit of £25. This is a non-refundable deposit. However, if the patient decides to proceed with the promoted treatment, the £25 deposit paid originally will be added as credit to the patient’s file.
